AI solutions for SMEs
We build AI that actually takes work off your plate, for SMEs and start-ups. Sometimes as an agent of its own, sometimes inside the software you already have. The final say always stays with you.
Want to do something with AI, but not quite sure what? You're far from the only one. Here you can read what AI can do for a small or mid-sized business. And what it can't. We explain how we build it and what to watch for with GDPR and the AI Act. Still unsure after that? Then we'll look at it together.
What AI can and can't do for your business
What is AI actually good at? Reading messy text and turning it into something structured. A language model understands an email or a form full of free text. It can summarise and write a first draft. That groundwork is something you can hand over.
Where does it go wrong? A model can say something wrong with total confidence. So don't let it work out your prices or numbers itself. Your own system does the maths, the model only explains.
And sometimes AI simply isn't the answer. Does your process follow fixed rules, if this then that? Then ordinary automation is often cheaper and more reliable. Do you only do something a few times a year? Then setting it up won't pay for itself. We'll just tell you that.
A person makes the decisions
How do you stop AI from doing odd things in your company's name? By keeping a person in the loop. We let the model read and prepare a draft. Is something going to a customer, or is money leaving the business? Then someone looks at it first.
Where do we draw that line? If tracking down a mistake costs more than the work the model saved, the task doesn't belong with the model. In our own work we keep the model away from data-model decisions. And from anything touching logins or money. Text that goes out under a client's name is written by a person too. How we do this ourselves is in why we keep AI in the loop, not on autopilot.
GDPR and the AI Act in plain words
Is all of that allowed? Usually yes, as long as you sort out a few things. If personal data goes to a language model, GDPR simply applies. You need a data processing agreement and you want to know where the data is processed. And don't send more than you need.
Then the AI Act. That law looks at what an AI system does and how much risk comes with it. For most small-business uses, that's modest. Do you have a chatbot or a WhatsApp agent? Then your customer has to know they're talking to AI. That transparency rule has applied since 2 August 2026. The heavy rules for high-risk AI, like AI that helps decide who you hire, have moved to December 2027.
Having AI built to your spec and with your data? Then you may be the provider in the legal sense yourself. We talk that through with you up front. The background is in what the AI Act means for SMBs. The concrete actions are in our checklist for 2 August. This is general information, by the way. In doubt about your own situation? A lawyer is the right person to ask.
Three routes we build for you
Which route fits you? That depends on where the work is.
Have an AI agent built. Does the same work come back every week, like following up on leads? An agent takes over the groundwork. You approve what matters.
WhatsApp AI agent. Do your customers prefer to ask their questions on WhatsApp? Then an agent can answer there, after five too. Tricky questions simply land with you.
AI in your app or web app. Is your software already running? Then you add AI to it. Smart search in your own data, for example, or a summary at the top of a file. You start with one feature and measure what it brings.
Our own WhatsApp agent
Does this actually work? We tried it on ourselves first. For Baboons' own WhatsApp business number we built our own AI agent. It answers through the Cloud API, while we keep using the Business app on our phone as usual. That's called coexistence.
The agent only answers from our own information. Not sure about something? Then it hands the conversation to a colleague. We built it for ourselves first. That way we know how it works before we set it up for clients. The full story is in the case on our WhatsApp agent.
Is AI worth it for a small business?
Often it is, when there is work that keeps coming back and needs reading or writing. Think of assessing enquiries or answering customer questions. Does your work follow fixed rules? Then ordinary automation is usually cheaper and more reliable. And if you only do something a few times a year, setting it up costs more than it brings.
Does AI make decisions on its own in your systems?
No, with us a person decides. The model does the groundwork, like reading and preparing a draft. Is something going to a customer, or is money leaving the business? Then someone looks at it first. Only once you've seen a simple step run reliably for a while can you let that one go automatically.
What do I need to sort out for GDPR when I start using AI?
A data processing agreement, and clarity on where the data is processed. If personal data goes to a language model, GDPR simply applies. The vendor and the company behind the model then process data on your behalf. And don't send more than you need. We're happy to go through this with you up front.
Does the AI Act apply to my chatbot or WhatsApp agent?
Yes, but the rules are light. A customer chatbot counts as limited risk. Since 2 August 2026 you have to make clear that someone is talking to AI. A short notice is enough. The heavy obligations are for AI that helps decide about people in sensitive areas. The Digital Omnibus moved those to December 2027.
With which process do I start using AI?
One that happens often and where the outcome is easy to check. Lead qualification and intake are often good candidates. Measure how it goes today first. How many enquiries come in, and how long until someone replies? Without that baseline you won't know later whether it paid off.
